How to Prepare for a Video Shoot
Knowing how to prepare for a video shoot saves time on camera day. Most problems that slow a production are avoidable: unclear goals, missing releases, noisy rooms, or wardrobe that does not work on camera. This checklist from Lark Media NYC in Hoboken, NJ covers what to lock before the crew arrives.
Start with a clear brief
Write down the audience, the one idea the video must deliver, where it will live, and who has final approval. If those answers are fuzzy, the shoot will wander. Our guide on how to write a video script helps shape talking points or a full script before the day.
Confirm location and access
- Quiet space with workable light, or a plan for lighting gear
- Power access and load-in path for equipment
- Building or venue rules, elevators, and parking
- Backup location if weather or noise becomes a problem
- Time window that respects occupants and neighbors
Wardrobe and appearance
Solid colors usually read better than busy patterns. Avoid logos you are not cleared to show. Bring a backup top. If multiple people appear, agree on a simple palette so the group looks intentional without matching uniforms.
People, releases, and schedule
Name who will be on camera and who will approve the cut. Get release forms signed before rolling when people other than your own team appear. Build a run-of-show with buffer between interviews so the day does not collapse when one segment runs long. See our video production checklist and stages of video production for the wider process.
Day-of habits that help
- Silence phones and notifications in the room
- Have water available and a quiet place for notes
- Keep one person as the decision-maker for on-the-spot questions
- Capture the primary takes first, then optional extras
- Note any claims or on-screen text that still need legal or brand review
After the shoot
Expect a review round with one named owner for feedback. Captions and alternate aspect ratios should already be in the deliverable plan. If you want a partner to run the day, our NYC video production company page explains how we work.
Working with Lark
Lark offers two ongoing packages. Foundation is five short-form videos per week with founder- or team-filmed content, scripts and ideas, supporting graphics, and a weekly educational email. Growth adds a monthly five-hour on-site shoot directed by Lark, seven to ten short-form videos per week fully edited and posted, plus comment-reply and reactive content. Both are inquire-for-pricing options, and one-off projects are scoped separately.
Frequently asked questions
How early should we prepare?
Ideally a week or more for access, wardrobe, and releases. Complex locations need more lead time.
Do we need a full script?
Not always. Talking points often work better for founders and experts. Decide in the brief.
What if our space is noisy?
Tell us early. We may adjust the time of day, move rooms, or plan audio differently.
